Questions dentists ask before trying Calibic

Plain answers to what dentists ask before trying Calibic: the price, HIPAA and the BAA, read-only access, which software it reads and what it does not do.

These are the questions that come up in the first email or the first five minutes of a demo. The answers are short on purpose. Where a longer one exists, it is linked.

Two of them matter more than the rest. Calibic is read-only toward your practice software: it reads Open Dental, Dentrix or Eaglesoft and never writes, edits or deletes a record. And it is built for HIPAA with a Business Associate Agreement sent at sign up, which is a different sentence from “HIPAA certified”, because no such certificate exists.

If your question is about what runs on your particular system, the Coverage page answers it module by module with LIVE, BETA or ROADMAP. If it is about what we hold and how it is protected, start at the Trust Center. For the price, the pricing page has the table and a section on when Calibic is not worth buying.

Anything missing: email hello@calibic.com and we will answer it, and probably add it here.

Questions people ask

What does Calibic cost?

$149 per location per month, or $119 per location per month billed annually. One plan, every module included. There is no free trial. Enterprise and DSO pricing is by conversation.

Does Calibic change anything in my practice software?

No. Calibic reads your Open Dental, Dentrix or Eaglesoft database and never writes to it. The agent's code has no path that inserts, updates or deletes a record, and it does not take payments.

Is Calibic HIPAA compliant?

HIPAA has no certification, so we do not claim one. Calibic is built for HIPAA, acts as your business associate, and sends a Business Associate Agreement with every sign up.

Does HIPAA apply to dental records?

Yes. A dental practice that sends claims or eligibility checks electronically is a covered entity under HIPAA, and its patient records are protected health information. Any vendor that holds those records for you, including Calibic, must sign a Business Associate Agreement.

What are the new HIPAA rules for dental offices in 2026?

HHS published a proposed update to the HIPAA Security Rule in January 2025 that would require, among other things, multi-factor authentication, encryption and a written asset inventory. Check the HHS website for whether it has been finalised and when it takes effect before you plan around it.

Which practice software does Calibic work with?

Open Dental, Dentrix and Eaglesoft today. Coverage differs by system: Open Dental and Dentrix are LIVE across the modules, Eaglesoft is BETA and withholds any figure we have not verified against a real office. The Coverage page lists it module by module.

Does Open Dental have an API?

Yes. Open Dental publishes an API for third parties. Calibic does not use it; the agent reads the Open Dental MySQL database directly, read-only, which gives it the securitylog table that the audit trail depends on.

Does Dentrix have an API?

Henry Schein One runs a developer program for Dentrix integrations. Calibic reads Dentrix through its ODBC views, read-only. We are not a certified Dentrix partner and do not claim to be.

Is Dentrix cloud based?

Dentrix itself runs on a server in your office. Dentrix Ascend is the separate cloud product. Calibic connects to server-based Dentrix today; Ascend is not supported.

Can Open Dental be accessed remotely?

Yes, usually through a remote desktop session or a VPN into the office network, which keeps the database inside the practice. Calibic's agent runs on the server in the office, so you can see your numbers from anywhere without opening the database to the internet.

Is Dentrix or Eaglesoft better?

Neither answer is honest without knowing the office. Both are server-based, both have been around for decades, and switching is a large project. If you already run one of them, Calibic reads it; the only practical difference for us is that Eaglesoft coverage is BETA while Dentrix is LIVE.

Does Calibic text or call my patients?

Not yet. Texting, campaigns and AI outreach are ROADMAP. In the product today they are a simulation and nothing reaches a patient. We say coming until they are live.

What counts as recovered revenue?

Only money your records show as booked, completed and paid. Everything else is called found. A list of unscheduled treatment is a list of opportunities, not a dollar figure you have collected.

Does Calibic catch embezzlement?

It flags unusual changes for you to review, such as a completed payment deleted twenty minutes after it was posted, with the before and after values kept. It does not conclude misconduct, and the product says so on every finding. What it can see differs by practice system.

What is the biggest data breach threat for dental practices right now?

In the cases HHS publishes, the common causes are stolen credentials, phishing and ransomware on the office server, not analytics vendors. Keep your own backups, give each team member their own login, and ask every vendor that touches your data for a BAA and a plain description of what they store.

Does Calibic cover local search, competitors and reviews?

Yes. Local ranking, Competitor Insights and review monitoring are LIVE. Drafted review replies are BETA: Calibic writes a draft, you read, edit and post it. The street-by-street rank grid is ROADMAP.

What does Calibic not do?

It does not text or call patients yet, does not take payments, does not write to your practice software and does not read X-rays. It connects only to Open Dental, Dentrix and Eaglesoft, and it does not hold a SOC 2 report.
