The treatment plan was presented on Tuesday. It is now three weeks later and nobody has booked it. Multiply that by every crown, implant and quadrant of scaling in the chart, and the number is larger than most owners expect. Revenue Recovery lists it, ranks it, and then does something the other tools do not: it checks whether the money actually arrived.
What does the screen show?
The app calls this screen Opportunities. Three tabs: Open, Won, All. Four tiles: Recovered this month, Open opportunities and their value, Wins this month, Win rate over 30 days. Two charts: Recovered by week over 12 weeks, and recovered by person.
The table is the working list. Each row shows the patient, the opportunity type, the value, a plain “why” line, a likelihood percentage, an owner (Front desk, Hygiene, Billing or a named person) and three buttons: Log call, Draft message, Dismiss.
Five kinds of opportunity feed the list:
| Type | Rule |
|---|---|
| Unscheduled treatment | Planned this calendar year, nothing booked |
| Benefits left | Insured, at least $300 left, treatment planned |
| Overdue hygiene | Recall date passed, nothing booked |
| Reactivation | Seen 12 to 36 months ago, nothing booked |
| Balance due | Over $100, 31 or more days after pending insurance |
Rows sort by value times likelihood. The likelihood starts from a base rate per type, shrinks with time since the plan or recall and by 15% per missed visit (up to five), and rises 10% if insured and 20% if a family member is already on the book.
How is “recovered” different from “found”?
Found is what the list adds up to. Recovered is counted only when your practice software shows one of three things after the call: an appointment on the schedule, the planned procedure completed, or a payment posted. One visit counts once. A booking that falls off the schedule reopens the opportunity after three days. The last person who logged a call or was assigned gets the credit. After a win or a loss the patient rests for 60 days so nobody is nagged about one crown.
What does it read from my practice software?
Read-only. On Open Dental: procedurelog for planned and completed status, appointment, patplan, insplan and benefit for benefits, payment and recall. On Dentrix: admin.v_proclog, admin.v_appointment, admin.v_maximums, admin.payment_view and admin.v_patient_recall. On Eaglesoft: planned_services, appointment, transactions_header and patient_recalls. The agent proposes up to 500 opportunities every 30 minutes and looks for outcomes in appointments from today forward and in completed production and patient payments over the last 45 days.
Is it live on my system?
LIVE on Open Dental and Dentrix. On Eaglesoft it is BETA: the Benefits left type is off because Eaglesoft’s benefits field is not a running balance. Draft message is BETA on every system: a short text and email per patient for staff to copy.
What it does not do
Calibic never contacts a patient. Automatic sending is ROADMAP and marked coming. It does not promise a recovered total; no figure from a live practice is published here. Found is not recovered, and the screen never blurs the two.
Next step
Run your own numbers through the case acceptance calculator. Smart Recall covers the hygiene side of the same list, and the unscheduled treatment guide shows how to pull the raw report from your own software first.
