A dental team gathered around a reception counter at 7:45 in the morning, looking at one tablet

It is 7:25. Someone is reading yesterday’s day sheet off a printout. Nobody is sure whether the 9:15 crown patient ever booked the second visit, and the hygienist wants to know who left last week without a next appointment. The Daily Huddle answers those questions on one screen before the first patient walks in.

What does the huddle screen show?

Four tabs: Yesterday, Today, Tomorrow and a custom date. Each shows three verdict numbers:

  • Gross production, split dentist and hygiene. Gross means before write-offs, and the tile says so.
  • Collections, split patient and insurance.
  • Patients seen, with appointment and hygiene counts.

Tomorrow reads “Not occurred yet” on production and collections. It never shows $0 for a day that has not happened.

Below that, a month forecast: completed production plus what is still booked, against the goal you set. Then six “looking ahead” tiles that each open a list: scheduled production, patients who left with nothing booked, unscheduled treatment (plans dated this calendar year, one patient counted at $25,000 at most), past-due balances arriving today, unscheduled hygiene and unscheduled family members.

The list itself is the part the team reads aloud. Time, patient, and the one thing that needs doing: balance due $135, unconfirmed, crown #14 not booked, benefits expire in 12 days. The same five figures arrive by email at 7:00 for anyone who is not in the building.

Every number shows its as-of time. A stale figure is dashed and dated rather than shown as current.

What does it read from my practice software?

Read-only, every time. On Open Dental: appointment, procedurelog, payment, paysplit, claimproc, recall and patient. On Dentrix: admin.v_appointment, admin.v_proclog, admin.payment_view, admin.inspayment_view, admin.v_patient_recall and admin.v_guarantor_balance. On Eaglesoft: appointment, transactions_header, patient_recalls and patient.

Core numbers refresh in one to two minutes on Open Dental and Dentrix, and within two to sixty minutes on Eaglesoft.

Is it live on my system?

LIVE on Open Dental and Dentrix. On Eaglesoft the huddle is BETA: money is posted on its ledger date, and the “nothing booked” and scheduled production tiles show a dash rather than a number Calibic cannot yet prove.

What it does not do

It does not send reminders or confirmation texts. Texting is ROADMAP and marked coming. It does not write a confirmation back to your schedule, and it does not show a roster with reminder or form status. Unscheduled lists reach back 35 days for custom dates, not further.

Next step

Bring your own huddle sheet to a demo and compare it line by line. The Front Desk page covers what happens at 3 PM and at closing, and the front desk daily tasks guide lays out the rest of the day.

Questions people ask

What are some ideas for a dental morning huddle?

Keep it to three numbers and one list. Yesterday's production and collections, today's scheduled production against goal, and the patients on today's schedule who need something: a balance, a confirmation, a crown that was never booked. Ten minutes, standing up.

Why is production higher than my practice software report?

The huddle shows gross production before write-offs, and says so on the tile. A production report in your practice software may already net out PPO adjustments.
