Ask: AI dental practice analytics in plain English

AI dental practice analytics you can type a question to. Ask answers from your synced records, names the datasets it read and turns lists into segments.

A card shaped like a chat bubble resting on a wooden desk, with no text on it

It is 2:40 on a Tuesday and you want one number: how much treatment is planned but not booked. In your practice software that is a report with six filters and a date range nobody remembers. In Calibic you press ⌘K, type the question, and the answer comes back from your own records with the sources listed under it.

What does the screen show?

An Ask drawer opens from the top bar with four starter chips: “Who left today with nothing booked?”, “Top 5 unscheduled treatment”, “How are collections vs last month?”, “Which insurance carriers owe us the most?”. You can type anything else.

Each answer shows a plan line (“read 14 synced datasets”), the figure in bold, a short breakdown, and pills naming what it read: Treatment plans, Appointments, synced two minutes ago. The sample answer on the home page reads: $38,420 is planned and not booked, across 61 patients, split by crowns, fillings, perio and other.

Ask a list question and it builds a segment instead of a paragraph. “Which patients have insurance left and treatment I haven’t scheduled?” ends with a button: Open as segment, 41 patients. The model picks from 59 known filters; the server checks each one and does the counting, so the number is exact even when the prose is not.

If the data is not there, it says so. Ask what you will produce in March and the answer is that it cannot tell from synced data, and points you to the month forecast on the Daily Huddle.

The server, not the model, counts a segment
List counts are exact because the server builds the segment.

What does it read from my practice software?

Nothing directly. Ask reads the rollups the agent has already computed, read-only, from procedurelog, appointment, payment, claim and recall on Open Dental, from admin.v_proclog, admin.v_appointment, admin.payment_view and admin.v_claim_summary on Dentrix, and from transactions_header, appointment, insurance_claim and patient_recalls on Eaglesoft. The app checks for new data every ten seconds; the patient index refreshes about every five minutes.

What are the guardrails?

It reads only this office. It is instructed never to invent patients, amounts or dates. It says when data is missing. It is read-only toward your practice software. Every question is logged with who asked and when, and an admin can switch Ask off in Settings. It is built for HIPAA, and a Business Associate Agreement is sent with every sign up.

Ask is told never to invent patients, amounts or dates
Ask also says when data is missing.

Is it live on my system?

LIVE on Open Dental, Dentrix and Eaglesoft: text answers, the ⌘K hand-off and Ask-to-segment. ROADMAP and marked coming: charts inside answers, a citation on every number, approved actions, and AI outreach. Ask needs the AI service configured for your account.

What it does not do

It does not recommend treatment. It does not text or call patients. It does not read clinical notes or images. It will not forecast a month that has not happened.

Next step

Bring three questions you ask every week to a demo and type them in. Dashboards is where a question you ask every morning should live permanently, and the Protect page covers the access log that records every question asked.

Questions people ask

Can the answer be wrong?

Yes. The model is told never to invent a figure and to say when data is missing, but answers are not yet number-checked line by line. List counts are different: the server builds the segment and does the counting, so those are exact.

Does it read charts or clinical notes?

No. Ask reads the aggregate rollups and worklists the agent already computed: production, collections, unscheduled treatment, claims, balances, recall. Never note text, never X-rays.
