Eaglesoft dashboard: what it shows and what it leaves out

An honest look at the built-in Eaglesoft dashboard: the tiles it offers, where the numbers come from, what it cannot show, and what to add alongside it.

A simple four tile practice dashboard on a tablet

The owner wants to glance at one screen in the morning instead of running four reports. Eaglesoft has a dashboard for that. It is useful for what it does, and it is worth being clear about what it does not do before you build a morning routine around it.

What is the Eaglesoft dashboard?

Eaglesoft ships a practice dashboard inside the program: a screen of tiles showing production, collections, scheduled production, new patients and a few other figures for a chosen period, usually today, month to date or a date range. It reads the same ledger as the reports, so the numbers match the Day Sheet and Provider Productivity for the same dates.

Sign in is the normal Eaglesoft login. If you have seen a separate web sign in for a Patterson dashboard, that is a hosted product and not the screen inside Eaglesoft.

What does it show well?

Four things.

  • Production for the period, gross and after adjustments, which agrees with the Day Sheet.
  • Collections for the period, split by patient and insurance.
  • Scheduled production, the fee value of what is on the book for the rest of the period.
  • New patients, counted by the first visit date.

Set it to month to date on the first of the month and it answers “how are we doing” at a glance for the rest of the month. That is a real improvement on running Provider Productivity every day.

What does it leave out?

Six things an owner usually wants that the built-in dashboard does not give.

  1. Trends. It shows a period. It does not show this month against the last twelve, so a slow slide in hygiene production is invisible until someone compares two printouts.
  2. Per hour. Production is a total. Divide it by scheduled hours yourself. $82,600 over 112.5 hours is $734 an hour, and that number is the one that tells you whether an open hour matters.
  3. What is owed and how old it is. Aging is a separate report.
  4. What is planned and not booked. The unscheduled treatment total is a separate report, and the dashboard does not tell you it went up.
  5. Who is overdue for recall. Also a separate report.
  6. What changed after posting. A voided payment does not appear anywhere on the dashboard. It is a row in transactions_header with a status of D and a mirror row with status V, and only the audit under Utilities surfaces it.

The honest summary is that the Eaglesoft dashboard is a nice front for two reports, production and collections, and silent about the other four that move money.

A worked example

A practice checks the dashboard on the 20th. Month to date production is $96,000 and collections are $88,500. Both look fine.

The same morning, the office manager runs the three reports the dashboard does not cover. Aged Receivables shows the over 90 bucket at $13,800, up from $9,200 last month. Unscheduled Treatment shows $54,000 planned and not booked, up from $41,000. The Recall report shows 131 patients overdue with nothing booked.

None of that was on the dashboard. All of it is the real state of the practice. The dashboard was true and incomplete.

How should I use it?

Keep it on the second monitor set to month to date. Use it for the two numbers it is good at. Put the other four on a weekly schedule, with a printout you keep, and compare each one with the previous week. The comparison is the dashboard the program does not give you.

What Calibic adds

Dashboards are LIVE, and Eaglesoft coverage is partial. Calibic reads transactions_header, appointment, patient and provider over a read-only connection and shows the six answers together: production and collections with twelve months of trend, production per hour against scheduled hours, the aging buckets, the unscheduled total, the overdue recall count, and a Protect digest of voids with the amounts kept. Each tile shows when it was synced and opens to the rows behind it. Where a figure’s meaning on Eaglesoft is not yet verified for your version, the tile says not available instead of showing a wrong number, and the Coverage page lists which checks run.

Calibic never writes to Eaglesoft.

See the owner view on the Dashboards product page. The sibling guide covers the Eaglesoft reports that matter, and the Eaglesoft integration page lists exactly what Calibic reads today.
