Your office manager has asked for a dashboard. Practice by Numbers came up on a forum, and so did Calibic. One is an all-in-one platform with analytics inside it. The other is only the analytics, plus an audit trail. The right choice depends on what you already pay for.

What Practice by Numbers is

Practice by Numbers (PbN) describes itself as a platform that replaces scattered tools with one connected system. On 13 October 2026 its site lists Business Analytics, Patient Relationship Management (reminders, campaigns, reviews and two-way texting), PbN Voice (a cloud phone system), PbN Payments, Smart Forms, and an AI Receptionist. It says it is “Trusted by 5,000+ Dental Providers” and lists 25 practice management systems, including Dentrix, Dentrix Ascend, Eaglesoft, Open Dental, Curve Dental, Practice-Web and several specialty systems.

Its pricing page shows plans named Analyze, Core, Flow, Scale and Thrive and says “Start as low as $249/mo.” Per-plan prices are not shown; Voice is an add-on on most plans and insurance verification is metered.

What Calibic is

Calibic is read-only. It reads your Open Dental, Dentrix or Eaglesoft database and never writes to it. It turns the data into a ranked daily list in dollars (Focus today, LIVE), a Daily Huddle (LIVE), a Smart recall list sorted by likelihood to book (LIVE), a private audit trail of payment changes (Protect, LIVE), plain-English Ask with sources (LIVE) and a Recovered figure that counts only when the PMS shows the work booked, completed and paid (LIVE). Local ranking and Competitor Insights are LIVE. Review monitoring is LIVE and drafted replies are BETA.

Price: $149 per location per month, or $119 billed annually. Everything is included.

Where Practice by Numbers is stronger

  • The whole front desk in one product. Phones, texting, forms, payments and online booking. Calibic has none of these.
  • Many more practice systems. 25 listed against Calibic’s three.
  • Breadth of analytics. PbN has built KPIs for years and covers specialty practices. If you want a long list of metrics by provider, hygienist and location, it has more of them.

Where Calibic is different

  • Price. $149 against “as low as $249” for an entry plan, before Voice or metered items. If you only want numbers, that gap is real.
  • A ranked list, not a dashboard wall. Calibic’s job is to show the fifteen things worth acting on today, in dollars, and hide the rest.
  • Protect. A private audit trail of deleted payments, adjustments and write-offs from the PMS’s own log tables. Not a PbN feature as listed.
  • Found versus recovered. An opportunity is found. Money is recovered only when the ledger shows it paid.

What Calibic does not do

No texting, no campaigns, no phones, no patient forms, no payments, no imaging. Texting and campaigns are ROADMAP and shown as a simulation today. Calibic does not hold a SOC 2 report. It is built for HIPAA and a Business Associate Agreement is sent with every sign up.

Pick Practice by Numbers if

  • You want to consolidate phones, texting and payments under one vendor.
  • Your system is not Open Dental, Dentrix or Eaglesoft.
  • You run a specialty practice and need its specialty KPIs.

Pick Calibic if

  • Your phones and reminders are fine and you only want the intelligence layer.
  • You want the price before the call.
  • You want Protect and a recovered figure you can check against the ledger.

You can run both. Calibic changes nothing in the database, so it sits beside any other vendor.

As of 13 October 2026. Calibic is not affiliated with Practice by Numbers.
